On this page we take you through the Customer Journey from an initial enquiry, to discussing your program and welcoming you on your trip.

Stage 1 – New Enquiry

Stage 1 – If you are interested in booking a trip to Hindleap Warren do get in contact with our sales team. Our sales team will be happy to discuss trips, dates and prices and will be able to provide you with a quotation upon receiving all the necessary information to do so. If you are happy with the details quoted, please provide the sales team with confirmation that you would like to proceed with the trip.

Stage 2 – Booking Confirmation & Deposit Invoice

Stage 2 – Once you have confirmed your trip with the sales team, you will be sent a booking confirmation email containing the trip information, Hindleap Warren’s Terms and Condition and Hindleap Warren’s insurance details. On receipt of this please check over all the details and respond to the sales team agreeing to the terms and conditions.

At the same time as receiving the booking confirmation email, you will receive a 30% deposit invoice with 30-day payment terms from the finance team.

Stage 3 – Final Numbers & Draft Program

Stage 3 – Final Numbers & Draft Program

Stage 3 – Hindleap Warren require confirmation of your final numbers 60 days out from the trip, after then your numbers are fixed and your balance invoice is raised. It won’t be possible to reduce your numbers after this point, if you wish to increase numbers please do contact us at the earliest opportunity to check whether this can be accommodated.

Around 4-8 weeks before your trip you’ll receive a draft programme, your dormitory plans, a pack for your trip leader and various forms that we’ll need you to return ahead of your trip including dietary requirements, educational and medical needs, room and group lists. We try to be as flexible as we can for our group’s needs, and will be factoring in weather and activity conditions and so because of this we are unable to provide most of this information before 8 weeks in advance.

Stage 4 – Returning Forms

Stage 4 – We need your ‘forms to return’ back, at least one week before you arrive, this is so we can inform our kitchen team of any dietary requirements, our housekeeping team can prepare the rooms needed and our instructors can prepare for the needs of the young people.

Stage 5 – Arriving at Hindleap

Stage 5 – Arriving at Hindleap

Stage 5 – You’ll arrive at the centre and be greeted by the duty manager who will be on-call for the duration of your stay for any needs or adjustments you require. One of our instructors will then give you a centre tour, get you settled into rooms and do some goal setting, between all of this you’ll have time to eat your packed lunch and then you’re off on your adventures!

Stage 6 – Feedback & Discuss Future Trips

Stage 6 – After your fun-filled adventure with us we will be sad to see you go but wish you a safe journey home. We will be getting in contact with you shortly after your departure to gather valuable feedback from your trip with us and our sales team will be in contact to discuss future bookings.
